How To Edit and Add an Outlook Signature using Microsoft Outlook 2003

Open Microsoft Outlook 2003 and navigate to the “Tools” menu, and find “Options” the list that appears. (It should be the final option in the list). Once you locate the item in the list click on it to open the “Options” menu.
With the “Options” menu now open select the “Mail Format” tab as seen here.
Once you are in the correct tab locate the “Signatures” button and click it.
With the “Signature” menu open click on the “New” option
In the new signature menu you will be presented with several options.
For this example you will require the “Use this file as a template.” option which is the third selectable circle on this menu. This will allow you to edit a previously created signature file to include any personal details such as your name or contact number etc.
Once selected click the “Browse…” button.
Now select the file you wish to use. In this example the file is called “Test.htm” the file’s name and location may vary. Click select when you have found the correct file.
Now that you have selected the file you will be returned to the previous menu, there will now be a file location in the formal blank text box. Please click “Next” to continue.
You will now be able to edit your signature to adjust any information that does not apply to you. To do this simply use your mouse to select the body of text and edit it in much the same way as you would edit a text document in Microsoft Word. Once you are happy that the information is correct click “Finish” to close the editor.
You will now return to the previous menu, select your new signature (Test in this example) and then click OK.
You will now return to the “Mail Format” tab of the “Options” menu. Please now select your signature files from the two drop down boxes above the “Signatures” button. Once you have done so click apply and then OK to exit the “Options” menu.
You will now be returned to the main outlook window. To test that the new signature is working correctly please now click new “mail message” in the top left hand corner of the window.
You should now see your new signature at the bottom of the new e-mail message.
Providing your signature is correct you have now completed this guide.
